Time Blocking

Time Management Tips

Do you constantly check your email or jump from one task to another without finishing the first task? If the answer is yes, you are a task switcher.

Why is task switching a problem?

Checking email interrupts the average 8-hour workday 96 times. It takes approximately 64 seconds to resume work after responding to an incoming email. This equals 102 minutes wasted each day.

How can you save time?

Time blocking involves dividing the workday into blocks of time for assigned tasks. For example, assign time blocks, shown in yellow below, for checking and responding to emails, lunch, and meetings.

11 AM - 12 PM - Respond to emails

12 PM - 1 PM - Lunch

1 PM - 4 PM - Meetings

Tips:

  • Each evening, spend 10 minutes planning the next day's schedule.
  • Create a to-do list to identify tasks for the next day.
  • Prioritize the tasks on the to-do list and block out time for the most important tasks first.
  • Identify the times you are most productive and schedule the most important tasks to be completed at these times.
  • Don't forget to schedule personal time during the day!
  • Remember to remain flexible because emergencies will pop up during the day.
  • Use a calendar app to schedule blocks and identify schedule conflicts.
